What is n8n?
n8n is a tool that moves information from one application to another, automatically, according to rules you define.
Each automation, called a workflow, is built on screen with blocks linked together: a trigger (new form, new email, fixed time), then actions (read a piece of data, transform it, send it elsewhere). n8n offers connectors for many common services and can call any application that has an API.
It stands out from similar tools because it can be installed on your own server, and because it leaves room for code when a standard block is not enough. It can also bring AI models into a workflow.
Which tasks can an SME automate with n8n?
Any repetitive task that consists of moving or copying information between two tools is a good candidate.
- Add each new shop order to a Google Sheet or to the management software
- Send the customer a WhatsApp or email confirmation
- Alert the team when a quote form is filled in
- Chase unpaid invoices on a fixed date
- Prepare a summary of the previous day's sales every morning
- Read supplier invoices received by email and extract the amounts
- Back up important files automatically
Start with the one that wastes the most time each week.

Request a quoten8n cloud or self-hosted: which should you choose?
The cloud version saves you from managing a server; the self-hosted version keeps your data with you and gives you more freedom.
With the version hosted by the publisher, you create an account and start right away, with a monthly subscription that depends on usage. With the self-hosted version, n8n runs on a server of your own, for example a VPS. Your customer data does not pass through a third-party service and you are not limited by an execution quota.
Self-hosting does however require updates, backups and monitoring. n8n's licence terms are published by the publisher: check that they cover your use. Suitable server plans are on the Servers page.
How do you start an automation project?
Start with a single automation that is useful, measurable and delivered quickly.
List the week's repetitive tasks with your team, then pick the one that meets three criteria: it takes time, it is always done the same way, and a mistake in it is costly. Describe it step by step, with the tools involved and the special cases.
Next we build the workflow, test it on real data, and run it for a few days alongside the manual method. When it gives the same results, we switch over. The second automation goes faster, because the connections to the tools are already in place.
What limits should you be aware of?
n8n is very effective at connecting tools, but it is not management software on its own.
If your data is scattered and inconsistent, automation will reproduce the errors faster. If a process changes every week, it is better to stabilise it before automating it. And if you pile up dozens of workflows without documentation, nobody will know what does what any more.
Plan from the start for failure alerts, a clear name for each workflow and a person in charge. When needs go beyond simply connecting tools, a custom application that n8n connects to becomes a better fit.
